DATA COLLECTED

The collection and processing of data is fundamental to the operation of ULUSTORY. It is based on these data that our project is built and it is these data that allow us to provide a reference service in the area of storytelling, skill-building and employee engagement. We limit and review the data, and the retention period is 10 years.

There are several groups of information and data that we collect and process. For simplicity, we will divide the different types of information into Clients, Managers and Users (for purposes of this Policy, “Users” includes “Storytellers”).

Data required from the CLIENTS

Data required from the Client at registration/subscription: all the data entered by the Client when registering on or subscribing to the platform are stored and processed. It is this registration that allows us to identify the Client and their identified key Manager, and give that Manager access to the reserved area for uploading names and email addresses of Users for managing access to the web application at ULUstory.app, associated materials, sessions, coaching and correctly associate the Client and key Manager with the users designated by them to use ULUSTORY. Furthermore, these are the data that we consider essential, along with the invoicing data, for the proper establishment of the contractual connection between ULUSTORY and the CLIENT. The following information is required during registration: complete name of Client, full name and contact information for billing employee/vendor, billing address, full name and contact information including email address of key Manager/s.

Payment data: the payment data are also processed by ULUSTORY, being: bank account data in case the Client prefers, or Client’s PayPal account data to receive Client’s or individual user payments.

Invoicing data: in order to comply with our fiscal obligations we have, obligatorily, to ask for some invoicing data such as: name, tax identification number, address, city, postal code and country.

Data collected automatically: in addition to the aforementioned data, we automatically collect, through cookies and other methods and services, a set of data that allow us to know precisely how Clients, Managers and Users use the platform, the country, date and times the Managers and Users log on to the platform, among other information. Data such as the IP address, the browser in which they access and their version, language, operating system, among others, are collected. We would like to emphasize that this type of data collection is intended, above all, to facilitate the work of our team whenever you need our support and assistance. It is information that allows us to quickly solve problems in our platforms, without which we cannot guarantee the normal operation of our service and its maintenance. For more information, please see our cookie policy.

Data required from the MANAGERS

Data required from the Manager at registration: all the data entered by the Manager/s when registering on the platform are stored and processed. It is this registration that allows us to identify and confirm key Managers, and give them access to the reserved area for uploading names and email addresses of Users for managing access to the web application at ULUstory.app, associated materials, sessions, coaching and correctly associate the key Managers with the Users designated by them to use ULUSTORY. This information includes complete names of Managers, their email addresses, and their positions and/or titles.

Furthermore, these are the data that we consider essential, along with the invoicing data, for the proper establishment of the contractual connection between ULUSTORY and the Client.

Data collected automatically: in addition to the aforementioned data, we automatically collect, through cookies and other methods and services, a set of data that allow us to know precisely how Managers use the platform, the country, date and time they log on to the platform, among other information. Data such as the IP address, the browser in which they access and their version, language, operating system, among others, are collected. We would like to emphasize that this type of data collection is intended, above all, to facilitate the work of our team whenever Clients, Managers and Users need our support and assistance. It is information that allows us to quickly solve problems in our platforms and that otherwise would not allow us to guarantee the normal operation of our service and its maintenance. For more information, please see our cookie policy.

Data required from the USERS

ULUSTORY may ask the Users for various personal data that may range from "simple" personal data categories (for example: username email, among many others) to data considered as "special" (examples of this type of data are Users’ draft and final U-stories, membership in “protected” legal categories such as race, gender, and age, personal and social history, place of work, and position held, among others).

ULUSTORY only processes the data of its users to the extent that they are inserted by the Users or Managers directly, through the web and/or mobile application. The use of the web application is intended for the use of the Managers and Users, in their employment context, and this usage is, obviously, optional and, in the cases in which it is used, we collect the following data:

Data entered by the Users: all data entered, either when logging into the web application or subsequently, are stored and processed. It is this set of data that allows us to identify Users, give them access to their reserved areas, correctly associate them with the Manager/s and/or ULUSTORY COACH, and give Users access to their sessions. Examples of this data are your login credentials.

Data collected from Managers and Users

Location data: with the use of the web application we can proceed to the registration of information from the GPS of the mobile device. However, this operation is optional, being always consented by the user, previously, at the moment of entering the reserved area.

Local files, notifications, and other data: the web application may access local files or information stored in other programs on rare occasions, always with your explicit authorization. All of these operations are optional, and they just serve to supplement and highlight the utility of the service we give.

Notifications: for the Users' convenience, we send notifications about sessions, communications between the parties, support material, among others. These notifications may be updated automatically on a daily basis. This functionality can be disabled at any time in the application settings.

Camera and Gallery: the application will be able to access the camera and image gallery of the mobile device, allowing users to take pictures and send images already saved in the gallery.

Other data collected automatically: in addition to the aforementioned data, we collect, automatically, through cookies, a set of data that allow us to know precisely how the web application and the website are used. We collect data such as the I.P. address, the browser in which Users access the operating system of their mobile devices, among others. We want to emphasize that this type of data collection is intended, above all, to facilitate the work of our team whenever Clients, Managers, and Users need our support. Also, it is collected for academic use and for the quick resolution of problems in our platforms, and that otherwise it would not allow us to guarantee the normal operation of our service and its maintenance. For more information, please see our section dedicated to data sharing with third parties and our cookie policy.

Provision of our service: we use the vast majority of the data entered, whether by Professionals or Coaches, to provide our service in the most efficient way possible, within the framework of the contractual relationship established between ULUstory, Clients, Managers, and Users.

Maintenance and improvement of services: a behavioral analysis of the use made by Managers and Users of the Website, and related coaching services is carried out. It is essentially this type of analysis that allows us to determine the usefulness of certain functionalities and to alter, correct and otherwise improve them according to the results.

Billing: it would be impossible for us to comply with our legal and fiscal obligations if we did not have recourse to the processing of certain billing information. Only in order to collect, at the time of payment, Client data such as: the tax identification number, among others already listed above.

Legal obligations: we may use the above-referenced information to comply with court orders, tax and administrative audits, and other legal obligations. All personal data, whether of simple or special types, of Clients, Managers, and Users may be made available to the administrative, judicial, or judicial authority in question in response to a court order, if our legal team deems it necessary.

Marketing: we may use above-referenced personal contact data for marketing purposes such as sending emails, notifications, sms and postal correspondence. We will never do so without express permission and Clients, Managers and Users are free to opt-out and continue. In order to have a good experience, the processing of such communications may be subject to automated individual decisions, including profiling.

Security and contractual purpose: we use above-referenced personal data to analyze suspicious or fraudulent behavior and to ensure that contractual relationships between ULUSTORY, the Client, the Managers, and Users are fulfilled in a timely manner.

RETENTION PERIOD

Personal data may be retained for different periods of time depending on its legal relevance or the duration of the contractual relationship for as long as necessary for the purposes originally described or for other legitimate business purposes, including compliance with our legal, regulatory or other obligations.
